Adminstrative Coordinator (Education Services)

Position Summary
The Administrative Coordinator will assist the Project Manager and staff by providing office support. Ensure compliance with policies and respond to the needs of customers.
Essential Duties
Provide general office administrative support. Establish general office procedures that support overall department needs.
Provide administrative back-up support as needed for the CMO/CCO.
Oversee department equipment and office supply inventory, divisional technology inventories. Trouble shoot problems as needed.
Serve as liaison to university services. Prepare documents and submit requests as needed. Troubleshoot problems/issues with university services.
Oversee office supply inventory, as well as the copy room and kitchen maintenance needs.
Organization of departmental staff meetings including planning, scheduling rooms, and ordering catering.
Coordinate and manage branded promotional inventory and order fulfillment.
Process invoices, expenses, and reimbursements through the university's automated invoice and expense platform.
Process outgoing mail and receive and distribute incoming mail and deliveries to the department.
Prepare and generate correspondence, memoranda, announcements, mailing lists, labels, and other documents; create and maintain standard and electronic records, files and recordkeeping systems.
Performs other duties as assigned or requested
Minimum Requirements
High communication skills (able to handle phone call in a professional manner, radio calls, communicate effectively with customers, etc.)
Previously involved and worked in the cleaning services industry before (Has previous experience)
High skills in computer data operations such Microsoft, Excel and Power Point Presentation
Excellent customer service and verbal and written communication skills, including the ability to interact with peers and clients in all levels of operations and management.
Proficient with Microsoft Excel and Word.
Bilingual in English and Spanish, preferred.
This is a Salary - Exempt position!!!

Excellent attendance; meets commitments and deadlines.
High school diploma or equivalent.
Must adjust to changes in regular schedule to help coordinate and staff special events.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
